What Xaxa is, and how to use it

About Xaxa

Xaxa is a simple, all-in-one app for running your church's day-to-day administration. It helps you keep track of your members, organise your departments, manage your church's finances, store important documents, and stay in touch with your people — all in one secure place.

Xaxa is built to be easy. You don't need to be technical to use it. Wherever you're about to make a big change, Xaxa shows you a preview first, so nothing happens by surprise — and you can always take your time.

How to use Xaxa

Setting up your church

Start in Settings. Add your church's name, upload your logo, and choose your colours. This personalises Xaxa so it feels like your church's own.

Adding members

Go to Members and tap “Add Member” to add someone one at a time. To add many people at once, use Import — you can bring in your members from a spreadsheet (Excel or Google Sheets). Xaxa will show you a preview before saving, so you can check everything looks right.

Creating departments

Departments help you organise your members into groups — choir, ushers, media, and so on. A member can belong to more than one department. Create a department, then assign members to it. You can see each department's members, leaders, and details on its own page.

Recording giving and finances

Use the Finance section to record giving from members and to track your church's income and expenses. Xaxa keeps your money records clear and easy to review.

Sending messages

You can send messages to your members directly from Xaxa — to everyone, or to a specific group like a department.

Smart features (AI assistance)

Xaxa includes some intelligent features that do part of the work for you:

  • Smart import. When you bring in members from a spreadsheet or a bank statement, Xaxa is smart about reading the columns and matching the information to the right place — even when the data is messy. It always shows you a preview first, so you stay in control.
  • Report overviews. Xaxa can read your financial reports and service reports and give you a clear, plain-language overview — so instead of staring at rows of numbers, you get a simple summary of what they mean.

These features are here to save you time. Xaxa always shows you what it's done before anything is saved, so you can check and correct it. The intelligence assists you — it never takes over.

A note on safety

Xaxa is careful with your information. Before anything important is deleted or changed in a big way, Xaxa asks you to confirm and warns you clearly. Your church's data is private and separate from every other church using Xaxa.
